Privacy Policy
This policy explains what personal information Delgroce Holdings and its divisions collect, why, and what rights you have over it — in line with the Protection of Personal Information Act 4 of 2013 (POPIA).
DRAFT — for internal review only, not yet approved for publication. Last edited: July 2026.
1. Who This Policy Covers
This Privacy Policy applies to the whole Delgroce Holdings group of websites: the Delgroce Holdings site, Delgroce Car Rentals (rent-to-own, daily rental, sell/list your car), Delgroce Cyber Services, and Compliance & Consulting. Wherever this policy says "we," "us," or "Delgroce," it means Delgroce Holdings (Pty) Ltd, registration number 2025/923369/07, of 08 Bofase Street, Rethabile Gardens, Polokwane, 0699 — the "responsible party" for your personal information under POPIA.
2. Our Information Officer
Our Information Officer is responsible for POPIA compliance across the group and is your point of contact for any privacy question, request, or concern.
Information Officer: Tiyiselani Brian Makhubele

3. What We Collect, and Where
We only collect what a specific form or service actually needs. Here's what each part of the site collects:
- Vehicle rent-to-own / daily rental application (the "Get Started" wizard): your name, phone number, email address, employment status, employment type, and intended use of the vehicle. If you're selling or listing a vehicle instead, we ask for the vehicle's make, model, year, and approximate mileage. This first step does not collect your ID number or driver's licence — those, along with proof of income and any other documents needed to conclude a signed rental or rent-to-own agreement, are collected later, directly from you, only if your application proceeds to a signed agreement.
- General enquiry and contact forms (on the Holdings homepage and the Car Rentals, Cyber Services, and Compliance & Consulting pages): your name, email address, and — where the form asks for it — phone number and business/company name, plus whatever you write in your message.
- Cyber Services and Compliance & Consulting package checkout: your business or organisation name, a contact person's name, email address, and phone number, so we can confirm your order and send you payment instructions.
- Every form also includes a hidden field designed to catch automated spam submissions; it is not used to identify real visitors.
4. Why We Collect It
We use personal information to:
- respond to your enquiry or application and get in touch with you about it;
- assess and process rent-to-own, rental, sale, or vehicle-listing applications;
- process package orders and send EFT payment instructions and confirmations;
- prepare, conclude, and administer any agreement you enter into with us;
- meet our own legal, tax, and regulatory obligations; and
- keep our records accurate and our services running properly.
We do not sell personal information, and we do not send marketing communications without your consent.
5. Is Providing Your Information Voluntary?
Giving us your name and contact details is voluntary, but required if you want us to respond to your enquiry, process your application, or fulfil your order — without them, we simply have no way to reach you or act on your request. Employment and vehicle-use details are only required where a specific service (like a rent-to-own assessment) needs them; if you'd rather not provide them at that stage, we may not be able to take that particular application further. Anything collected later to conclude a signed agreement (such as an ID number or driver's licence) is required specifically to enter into that agreement — without it, the agreement cannot be concluded.
6. Who We Share It With
Delgroce Holdings operates several divisions from one shared administration system, so your information may be visible to authorised staff across the group where relevant to your enquiry. Beyond that, we only share personal information with:
- service providers who process it on our behalf (for example, our website hosting and email delivery providers), under a duty of confidentiality;
- where an agreement requires it, relevant third parties such as insurers or finance partners named in that agreement; and
- anyone we're legally required to share it with (for example, a court order, or the Information Regulator investigating a complaint).
We do not sell or rent personal information to third parties for their own marketing purposes.
7. How We Secure It
Information submitted through our website is sent over an encrypted (HTTPS) connection. Stored information sits in a password-protected system accessible only to a single authorised administrator, our Information Officer — no third party has administrative access to it. Our database is backed up to protect against data loss, with automated off-site backups being enabled as part of our hosting setup.
8. How Long We Keep It
We keep personal information only for as long as reasonably necessary for the purpose we collected it for, or for as long as the law requires. Our retention periods are:
| Record type | Retention period |
|---|---|
| Financial & tax records | 5 years after the relevant tax year |
| Client contract records (rent-to-own agreements) | Duration of the contract, plus 5 years after it ends |
| Client ID number & driver's licence | Kept only while an active client; deleted within 12 months of the relationship ending, unless tied to a financial record above |
| Non-converting enquiry / contact submissions | 12 months, then deleted |
| Cyber & Compliance service orders / quotes | 5 years if an order resulted; otherwise 12 months |
| Marketing consent (if ever added) | Until withdrawn |
| Website session cookies / server logs | Session-only / short-term |
9. Your Rights
Under POPIA, you have the right to:
- be told what personal information of yours we hold, and why;
- request a copy of that information;
- ask us to correct information that is inaccurate, outdated, or incomplete;
- ask us to delete or stop keeping information we're not legally required to retain;
- object to us processing your information, including for direct marketing; and
- withdraw any consent you've given us at any time, without penalty (though this doesn't undo processing that already lawfully took place before you withdrew it, and it may mean we can no longer provide a service that depended on it).
To exercise any of these rights, contact our Information Officer using the details in section 2. We aim to respond within a reasonable time and within any period the law requires.
10. Cookies
Our website currently uses two small, strictly-necessary cookies — one to keep you securely signed in to a session, and one to protect forms against tampering. We don't use analytics, advertising, or tracking cookies. See the cookie banner on the site, or contact us, for more detail.
11. Children's Information
Our services are intended for adults — you must be 18 or older to apply for a vehicle rental or rent-to-own agreement. We don't knowingly collect personal information from children through this site.
12. Changes to This Policy
We may update this policy from time to time as our services or the law changes. The "last edited" date at the top of this page will always reflect the latest version.
13. How to Complain
If you're unhappy with how we've handled your personal information, please contact our Information Officer first so we can try to resolve it directly. You can also lodge a complaint with South Africa's Information Regulator:
